Position Summary
The Central Schedule Coordinator for Cardiology functions as the “air traffic controller” for Structural Heart and Cardiac Catheterization Lab procedures. This clinical scheduling role is responsible for coordinating complex patient procedures by ensuring the availability of physicians, advanced practice providers, equipment, and other critical clinical resources across all sites of care.
This position serves as a centralized scheduling and communication resource for Structural Heart Disease (SHD) teams, patients, families, and referring providers, while also supporting insurance authorization follow-up and standardized scheduling practices.
Key Responsibilities
+ Coordinate and schedule complex cardiology and cath lab procedures, including Structural Heart interventions
+ Ensure physician, midlevel provider, equipment, and clinical resource availability aligns with patient demand in a timely manner
+ Act as a centralized scheduling resource for Cardiology across all sites of practice
+ Facilitate patient access by coordinating schedules for referring providers, patients, and clinical teams
+ Serve as a key liaison between Structural Heart Disease teams and patients/families to ensure clear communication and continuity of care
+ Track physician and midlevel provider clinic time, time away, and schedule change requests
+ Maintain consistent and accurate master schedules for all scheduled clinical resources
+ Follow up on insurance authorization requirements related to scheduled procedures
+ Ensure standardized scheduling protocols, processes, and procedures are followed across the specialty
+ Prepare and maintain scheduling, utilization, and tracking reports as required
+ Proactively identify and resolve scheduling conflicts or resource constraints
Preferred Qualifications
+ Experience scheduling withinEpic, includingCupid(preferred)
+ Familiarity with otherHenry Ford Health (HFH)applications is a plus
+ Previous experience scheduling procedures in a cardiology, cath lab, or procedural clinical environment preferred
+ Strong analytical skills related to provider schedule management and optimization
Education & Experience
+ High School Diploma or equivalent – required
+ Associate’s Degree – preferred
+ 1–2 years of experience in a business office or healthcare environment with appointment scheduling and schedule maintenance required
+ Experience preparing and managing provider schedules strongly preferred
+ Proficiency with computer applications in a PC environment required
