Are you a detail-oriented administrative professional who thrives in multicultural, academic environments? We’re seeking a dedicated Department Assistant to join our team at a highly respected university in the University Circle area. Your exceptional organizational skills and attentive eye for detail will be vital in supporting our faculty, students, and program operations, including collaboration
Key Responsibilities:
+ Provide comprehensive administrative support to faculty, students, and the PhD Program Director, including calendar management, meeting coordination, and travel arrangements
+ Update and maintain templates, records, and databases for syllabi, student milestones, awards, and committee activity
+ Track and manage student milestones (e.g., dissertation submissions, orientations, advisor onboarding) with exceptional accuracy
+ Support program committees and the PhD Council by arranging meetings, preparing materials, and facilitating communication
+ Communicate clearly and proactively across all levels—students, faculty, staff, and administration—with sensitivity and professionalism, especially when interacting with diverse and international populations
+ Organize admissions processes, recruitment materials, and events, partnering with university offices as needed
+ Manage expenses, budget preparation, and office supply inventory with strong attention to detail
+ Maintain and update program-related content on academic websites
Requirements:
+ Demonstrated administrative experience (
+ Exceptional attention to detail, organizational skills, and ability to multitask
+ Strong written and verbal communication abilities
+ Proficiency in Microsoft Office Suite and familiarity with academic databases/systems
+ Ability to handle confidential student and academic records with discretion
