    Legal Senior Onsite Service Specialist

     

    Join our team as a Legal Senior On‑Site Service Specialist, where you will play a key role in supporting legal operations through accurate data entry, court‑filing preparation, document extraction, and workflow coordination. Working within a fast‑paced legal office environment, you will utilize Adobe Acrobat, Microsoft Word, and multiple court e‑filing systems to ensure timely and precise processing of legal documents. You will also support general office services, mail distribution, and client communication, contributing to seamless operations and exceptional service delivery.

    Legal Environment Responsibilities

    + Perform data entry of filing information using a multitude of court and e‑filing websites.

    + Extract documents from PDFs using Adobe Acrobat and prepare filings using Adobe Acrobat and Microsoft Word.

    + Upload court filings and ensure compliance with court rules and formatting requirements.

    + Use case management systems to track incoming workflow and maintain accurate records.

    + Maintain familiarity with legal documents such as briefs, motions, transcripts, addendums, discovery materials, and judgments.

    + Understand court systems and proper delivery procedures for legal documents.

    + Assist with legal records management tasks, including purging and archiving old documents.

    + Handle confidential and time‑sensitive legal materials with discretion and accuracy.

    General Responsibilities

    + Distribute incoming mail, packages, office supplies, and fax transmissions.

    + Perform scanning, file conversion, OCR, file naming, and encryption tasks.

    + Provide exceptional customer service by answering questions regarding job status, feasibility, and document handling.

    + Maintain logs for billing and assist in calculating charges for work performed.

    + Support legal staff including paralegals, legal assistants, associates, partners, and firm administration.

    + Deliver completed work to designated delivery areas, which may include travel between office locations.

    + Use copier equipment, calculators, fax machines, postage meters, and PCs.

    + Perform shipping and receiving duties and assist with general office workflow.

    + Conduct basic troubleshooting of office equipment and escalate technical issues when needed.

    + Assist with meeting room setups, light maintenance, and occasional reception duties.

    + Uphold safety standards and follow protocols when handling equipment and materials.

    + May require periodic overtime on nights and weekends, including off‑hour emergency responses.

    Qualifications Must Have

    + High school diploma or GED.

    + Minimum of one year of relevant work experience, preferably in a legal or professional office environment.

    + Basic knowledge of Adobe Acrobat and Microsoft Word.

    + Basic knowledge of Windows and Microsoft Office Suite.

    + Strong communication skills and ability to thrive in a fast‑paced, customer‑centric environment.

    Qualifications Nice to Have

    + Experience with court e‑filing systems or legal document workflows.

    + Familiarity with legal technologies such as document management systems or cost‑recovery tools.

    + Previous experience in office services, scanning, or document production.

    + Valid driver’s license with minimum auto insurance coverage.

    Knowledge, Skills, and Abilities

    + Ability to utilize hardware and software for document processing, workflow tracking, and cost recovery.

    + Strong attention to detail and accuracy in data entry and document handling.

    + Ability to work independently and manage multiple tasks with flexibility.

    + Troubleshooting and problem‑solving skills.

    + Excellent customer service and verbal communication skills.

    + Knowledge of shipping/receiving procedures and basic office equipment preferred.

    Working Conditions, Mental and Physical Demands

    + Frequent exposure to copier/fax machine noise, toner, and temperature changes.

    + Occasional exposure to outdoor weather when traveling between buildings.

    + High‑pressure environment with tight deadlines and quick turnaround times.

    + Physical activity including standing, walking, bending, reaching, stretching, and lifting up to 50 lbs.; pushing or pulling equipment up to 400 lbs.

    + Daily interaction with customers, employees, managers, and occasional contact with vendors or repair personnel.
