    Job Title: Payroll Specialist, People & Organization

     

    Reports To: Vice President, People & Organization (with dotted line to Accounting & Finance)

    Job Summary:

    The Payroll Specialist is responsible for accurately and efficiently processing payroll for a multi-entity organization. This position ensures compliance with all applicable federal, state, and local regulations and provides excellent support to employees with payroll-related questions. The Payroll Specialist collaborates closely with the People & Organization and Accounting & Finance teams to guarantee that payroll activities are aligned with company policies and standards.

    Key Responsibilities:

    + Prepare and process weekly, semi-monthly, monthly, and off-cycle payrolls for all employees across various operating entities.

    + Ensure accurate calculations of hours worked, overtime, bonuses, and deductions.

    + Audit timecards and enter accurate data into payroll systems.

    + Maintain compliance with all federal, state, and local payroll laws, including tax reporting and garnishments.

    + Prepare and submit payroll tax reports and ensure timely payments.

    + Complete year-end activities, such as W-2 and related form distribution.

    + Respond to employee inquiries regarding pay, benefits, deductions, and timekeeping.

    + Process direct deposit enrollments and updates.

    + Set up tax and entity details for payroll operations in new locations as needed.

    + Complete annual and periodic government agency reporting (e.g., EEOC, ACA, 401k audit, etc.).

    + Prepare monthly, quarterly, and annual reports for company management.

    + Advise on payroll policies and ensure procedures are up to date.

    + Maintain accurate payroll records including employee data, tax information, and deductions.

    + Handle confidential and sensitive information in accordance with company policies.

    + Update payroll systems with new hires, terminations, or changes in employment status.

    + Conduct routine payroll audits to ensure data integrity.

    + Serve as a point of contact for internal and external audit and reporting needs (e.g., Workers' Comp, paid leave programs, 401k, etc.).

    + Support compensation benchmarking and pay band analysis.

    + Manage new hire and contractor reporting as required by state and federal agencies.

    + Recommend and implement improvements to payroll processes and systems.

    + Perform other payroll-related projects and duties as assigned.

    Requirements

    Qualifications:

    + Bachelor’s degree in Accounting, Finance, Human Resources, or related field.

    + Minimum of 3 years’ experience in payroll processing.

    + Proficiency with payroll and accounting systems (e.g., ADP, Concur, Microsoft Dynamics, etc.).

    + Strong attention to detail and ability to maintain accurate records.

    + Advanced skills in Microsoft Excel and other Office applications.

    + Knowledge of payroll laws, tax requirements, and compliance standards.

    + Excellent communication, organizational, and problem-solving skills.

    + Ability to work under tight deadlines and maintain confidentiality.
