    About the Role

    As a Service Coordinator, you will be the primary point of contact for all incoming service-related inquiries. You will guide customers from initial outreach to final resolution, ensuring they receive timely, accurate, and high-quality support. This role is essential to the success of our service team and requires strong communication skills, reliable follow-through, and the ability to stay organized while juggling multiple priorities.

    What You’ll Do

    + Serve as the main contact for service calls and emails, providing end-to-end support with professionalism and urgency.

    + Coordinate installations, preventative maintenance, and service visits—including technician scheduling, travel arrangements, and invoice tracking.

    + Manage all Return Authorization (RA) processes: issue RA numbers, open CRM cases, and track equipment logistics.

    + Monitor open service cases such as repairs, parts orders, testing, and backordered items, ensuring timely updates and closure.

    + Create and enter sales orders for parts and service work.

    + Maintain accurate device history records, CRM documentation, and internal spreadsheets.

    + Support the service contract and service sales teams with administrative and operational tasks.

    + Take on additional responsibilities that contribute to team success and company goals.

    What You Bring

    + Strong verbal and written communication skills, with the ability to navigate challenging conversations professionally.

    + Excellent interpersonal skills, especially in situations requiring conflict resolution or collaborative problem-solving.

    + Ability to work independently with minimal supervision.

    + A customer-first mindset paired with sound judgment and the ability to balance customer needs with company objectives.

    + Experience with CRM/ERP systems — Salesforce strongly preferred.

    + Proficiency in Microsoft Office applications.

    + At least 2 years of customer service experience in a high-volume or high-pressure environment.

    + Comfort communicating with customers across the U.S. and internationally.

    + Strong organization, multitasking, and time-management abilities.

    + Associate degree in a business-related field preferred.

    Bonus Skills

    + Salesforce and Sage experience

    + Background in engineering or manufacturing environments

    + Sales or administrative experience, including quoting and contract renewals

    + Ability to document and improve internal processes (SOPs, work instructions)

    + Experience supporting service contract sales

    This position is onsite in Madison, CT, working closely with Service Technicians and internal teams to coordinate customer updates, scheduling, and documentation.     Pay and Benefits

    The pay range for this position is $28.84 - $28.84/hr.
