This hands-on role will work directly within the Computerized Maintenance Management System (CMMS) and other key operational platforms, serving as the first line of defense for data integrity and system configuration support. The Data Coordinator will report to the Manager of Business Analytics & Operations Support and be crucial in translating raw operational activity into clean, reliable data for reporting.

    Key Responsibilities

    1. Data Integrity and Management

+ Perform routine data auditing, cleaning, and validation within the CMMS (e.g., Maximo, ServiceChannel) to ensure accuracy in work orders, asset records, labor hours, and preventative maintenance schedules.

+ Manage the setup and standardization of reference data, including location hierarchies, asset classifications, vendor lists, and expense codes, ensuring compliance with ABM and Waymo standards.

+ Troubleshoot data discrepancies and errors reported by the Call Center, CMMS team members, or end-users, implementing corrective actions swiftly.

    2. CMMS and System Support

+ Serve as a functional system administrator for the CMMS, assisting with user access, basic configuration changes, and system updates.

+ Develop and maintain standard operating procedures (SOPs) for data entry and system use across the operations team.

+ Assist in the integration of data feeds between the CMMS, financial systems (ERP), and Business Intelligence (BI) platforms.

    3. Reporting and Data Fulfillment

+ Execute ad-hoc data queries and prepare basic reports upon request from the Analytics Manager or operational staff.

+ Support the Manager of Business Analytics & Operations Support in preparing monthly and quarterly performance metrics by gathering, aggregating, and organizing required datasets.

+ Collaborate with the Call Center team to ensure accurate data capture at the time of work order creation and dispatch.

    4. Documentation and Training

+ Maintain comprehensive documentation of data fields, definitions, and CMMS workflows.

+ Conduct basic training sessions for new operational personnel on data entry best practices and proper system usage.

    Qualifications

    Required

+ **Education:** Associate's degree or higher preferred, or equivalent experience in data management, information systems, or a related field.

+ **Experience:** 2+ years of professional experience managing data within a large database, ERP, or specialized operational system.

+ **CMMS Proficiency:** Hands-on experience working with and navigating a **Computerized Maintenance Management System (CMMS)** or Facility Management System is essential.

+ **Attributes:** Exceptional attention to detail, highly organized, and committed to producing accurate work.

    Preferred

+ Familiarity with **SQL** for basic querying.

+ Experience in the facilities management, property management, or services industry.

+ Exposure to Business Intelligence tools (Power BI, Tableau) from a data consumption or light report-building perspective.

    Working Environment

+ This is a collaborative role that requires frequent interaction with the CMMS team, operations staff, and the Analytics Manager.
