Description We are looking for a detail-oriented Administrative Assistant to provide essential support to the department’s project managers and inspectors in a non-profit setting. This is a long-term contract position located in Norfolk, Virginia, offering an opportunity to contribute to meaningful projects related to design and construction. The ideal candidate will have excellent organizational skills and the ability to manage multiple tasks efficiently while ensuring high-quality results.
Responsibilities:
• Create reports, letters, forms, charts, graphs, and other documents to support departmental operations.
• Manage the department’s calendar, tracking leave and absence requests to identify and address scheduling conflicts.
• Record and monitor design and construction-related purchases using online systems such as Banner, eVA, and other software tools.
• Assist the Director in preparing data, presentations, and responses for external agencies regarding design and construction projects.
• Provide prompt assistance to the Director with urgent projects requiring quick turnaround times.
• Answer incoming calls and handle inquiries professionally while maintaining a welcoming office environment.
• Perform accurate data entry tasks to ensure records are up-to-date and easily accessible.
• Update and maintain departmental website content to reflect current information and activities.
• Develop visually engaging presentations to support departmental initiatives and communication.
• Execute receptionist duties, including greeting visitors and managing correspondence. Requirements • Minimum of 3 years of experience in administrative support roles.
• Proficiency in creating presentations, reports, and other detail-oriented documents.
• Strong skills in calendar management and scheduling.
• Experience with data entry and maintaining accurate records.
• Ability to handle inbound calls and inquiries with a detail-oriented approach.
• Familiarity with online systems and tools such as Banner, eVA, and similar platforms.
• Excellent communication and organizational skills.
