    License and Certification Qualifications: None required.Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.Experience Qualifications: Three years secretarial/administrative or equivalent acceptable experience required.Skills Qualifications: Demonstrated skills in oral and written communication; demonstrated skills in organization and problem solving, with the ability to exercise independent judgment, troubleshoot, and solve basic problems; demonstrated knowledge and skills with computer software, particularly Microsoft Office, Lotus Notes, and PeopleSoft; skills in typing, word processing, spreadsheets, and graphics; ability to prepare reports, draft professional business correspondence, and process transactions as directed; ability to detect and correct errors in standard English language usage; ability to coordinate multiple tasks and priorities; ability to respond to inquiries and requests from internal and external customers; ability to record and issue minutes of meetings; ability to maintain strict confidentiality of information with high integrity; ability to analyze existing processes and identify areas for improvement; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.Primary Responsibilities: Provide administrative support to the Executive Director of Infrastructure and Operations and assist with functions and activities associated within the department.1. Perform general administrative duties.a. Align administrative priorities with those of supervisor.b. Manage concurrent tasks effectively and ensure that priorities are completed by deadline.c. Arrange meeting details, maintain calendars, develop minutes, and follow up correspondence in a timely fashion.d. Help supervisor cultivate a responsive, customer centered climate.2. Perform general clerical duties.a. Organize and efficiently maintain office files and records.b. Apply software and technology appropriately to produce quality documents and materials.c. Initiate purchase orders as needed to maintain equipment and software licensing, contractual agreements, and purchase department supplies.d. Maintain database for hardware and software used by infrastructure services and assist with budget preparation for maintenance expenses. e. Prepare conference registration and travel as needed.f. Provide assistance in on-boarding Technology and Innovation contractors.3. Perform division financial and accounting duties.a. Maintain ledgers, books, financial, and other records accurately and timely as assigned.b. Ensure payments are issued in a timely manner.c. Assist in monitoring monthly budget reports and printouts.d. Assist in reviewing budget amendments and travel for accuracy.4. Communicate with other people in a businesslike, courteous, and efficient manner.a. Represent the division professionally in person and over the telephone.b. Ensure that correspondence and other documentation sent from the office conforms to standard English usage.c. Handle internal and external customers graciously and effectively.d. Direct inquiries to the appropriate division personnel as needed.e. Route incoming and outgoing correspondence accurately.5. Cooperate with and maintain a positive relationship with other employees of the Technology and Innovation Division.6. Cooperate with and maintain a positive relationship with all other school system employees. 7. Perform other duties as assigned. Physical Demands:While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
