Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ Knowledge of basic accounting including budget principles and projections
+ Detail oriented with ability to prepare clear, concise, grammatically correct correspondence, emails, report, and spreadsheets
+ Demonstrate interpersonal relationship and team building skills, effectively communicating with varied members of faculty, staff, students, clients, vendors, and other agencies
+ Proficient in Microsoft Office suite of tools to include effective use of ERP financial system and spreadsheets
+ Create and maintain comprehensive and accurate records and files
+ Experience in recruiting, hiring, conducting performance reviews and supervision of student interns and workers
+ Experience in SAP and TSUS Marketplace
+ Must be a current Texas State Employee
Preferred Qualifications
+ BS in appropriate discipline (e.g. business administration, finance, accounting, public administration)
+ Minimum of 3 years of administrative/management experience in a similar position
+ Minimum of 3 years of experience in managing all aspects of multiple financial accounts
+ Knowledge of university budget, accounting and purchasing processes
Job Description
Coordinate administrative and business support services for the daily operations of STAR Park’s
current and future facilities owned and operated by the university.
Job Duties
Assist with management of STAR Park facilities including safety compliance, security access, and
building operational systems. Lead in development, negotiation, and supervision of management contracts with vendors doing business with STAR Park. Manage STAR Park budgets and accounting including annual budget planning, review of space and usage fees, budget adjustments, and monthly operational reports. Serve as liaison to park clients, contractors, university faculty and personnel, government offices, and the general public. Supervise interns/student workers. Perform other duties as needed.
+ Establish and maintain procedures for accurate and timely invoicing of STAR Park Clients
+ Deposit client fees with SBS ; oversee reimbursement of property deposits
+ Provide administrative oversight and financial management of STAR Park Clients
+ Manage all client service agreements and amendments
+ Conduct Client Onboarding and Offboarding programs
+ Review of all space and usage fees annually
+ Revise Client Handbook as needed
+ Oversee all department budgets and monitor financial expenditures
+ Assist Executive Director with annual budget preparation, prepare reports as requested
+ Create purchase orders, e-IDTs, and make purchases using a university-issued purchasing card
+ Create and manage all contracts and RFP solicitations
+ Monitor vendors for contract compliance
+ Approve invoice payments from Accounts Payable, create service and goods receipts
+ Monitor vendors for contract compliance
+ Recruit and supervise interns and student workers
+ Prepare PCR’s as Hiring Manager
+ Serves as department timekeeper
+ Recruit and supervise interns and student workers
+ Manage STAR Park conference rooms and event planning.
+ Assist in other duties as assigned by Executive Director
