Ascendis Pharma US is looking to hire an Executive Assistant to execute a variety of activities and confidential matters with discretion, professional polish, and interpersonal effectiveness. This position will have a broad range of responsibilities at various levels including interfacing with top executive management and internal/external stakeholders. An exemplary candidate will have a proven ability to independently handle multiple tasks and projects with competing priorities and deadlines. The ideal candidate is also dynamic, organized, possesses strong multi-tasking skills, and exhibits a general interest pharma/biotech. This position reports to the Chief of Staff, Head of US Strategy and Operations and will be hybrid with the team in Princeton, New Jersey. Key Responsibilities
+ Provide proactive and complex calendar management and serve as the primary gatekeeper for EVP/SVP, liaising with internal and external stakeholders - should be comfortable working in multiple international time zones
+ Develop and implement administrative, coordination, and project management procedures to enhance efficiency
+ Schedule and coordinate executive meetings, conference calls, and workshops – securing space, technical/audio requirements, catering, and materials in advance
+ Work with meetings leads and other internal stakeholders (marketing, sales, training) to schedule and coordinate logistics for key customer meetings for EVP/SVP during medical conferences and field visits
+ Arrange domestic, international travel, developing itineraries agendas, booking transportation and hotel arrangements
+ Prepare, track, and ensure timely submission of expense reports and purchase orders
+ Assist with interview scheduling and coordination to ensure a smooth candidate experience
+ Serve as backup to other Executive Assistants as needed
+ Support efficient organization and knowledge management (e.g. housing key documents and resources for marketing, and other functions)
+ Assist with the acquisition and timeline management of purchase orders, MSA execution, SOW legal reviews, and filing
+ Assist with budget tracking and invoice processing related to projects
+ Support vendor management and consultative agreements; maintain organized files, records, and documentation for easy retrieval.
+ Support onboarding and training of new team members as needed
Requirements
Knowledge, Skills and Experience
+ 5+ years related experience in the capacity of an Executive Assistant, supporting SVP/EVP and/or C-level is required; bachelor’s degree preferred
+ Excellent verbal and written communication skills
+ Proactive and organized, with high attention to detail
+ Desire to grow and ability to take on projects and work under pressure while consistently meeting deadlines
+ Ability to establish course-of-action to accomplish goals and evaluate results
+ Develop schedules and orchestrate multiple activities at once to meet deliverables and use resources effectively and efficiently
+ Able to work independently, and collaborate effectively with a team
+ Strong interpersonal skills; ability to interact well with people inside and outside of the organization with diplomacy, tact and efficiency
+ Strong analytical skills with demonstrated competency with tools including Outlook, Word, Excel and PowerPoint required
+ A high degree of professionalism and demonstrated ability to maintain confidentiality
+ Ability to work flexible hours, including nights and weekends, as business needs dictate
Salary Range: $50-60/hr DOE
