    Description

    The primary function of this position is to manage various aspects of bid coordination, including pricing, coding, contract management, and vendor relations. The Bid Coordinator plays a crucial role in the bidding and procurement process and will work closely with the Purchasing, Sales, and Customer Service departments to ensure efficient and accurate bid execution.

     

    An individual must be able to satisfactorily perform each essential duty listed below. The requirements listed are representative of the knowledge, skill, and/or ability required.

     

    Essential Duties and Responsibilities

     

    Pricing and Bid Management

     

    + Set up pricing based on won bids and secured business.

    + Calculate line item award and margin backups.

    + Assist with coding incoming bids.

    + Create spreadsheets for bidding items.

    + Code bid contracts and pass them off to the TrackMax Team.

     

    Vendor Relations

     

    + Reach out to vendors for support on bids.

    + Gather necessary information for new vendor setup.

    + Manage out-of-stock reports and communicate with schools as needed.

    Customer Support:

    + Provide back-up support to the Customer Service department.

    + Enter recovery items and out-of-stocks.

    + Assist with the bid department email box.

    Commodity Specialist Support:

    + Assist with failed transactions, PTV updates, and customer adds/deletes.

    Other Duties

    + Attend all required company meetings and adhere to all safety practices and company policies.

    + Perform all other related duties as assigned.

    Qualifications

    Education/Training

    + High school diploma or equivalent required. Bachelor’s degree Business Administration, Accounting or Finance preferred.

    + 2+ years of experience in similar role, preferably in the food distribution industry

     

    Knowledge/Skills/Abilities

     

    + Strong organizational, analytical and problem-solving skills

    + Excellent communication and interpersonal skills, both written and verbal.

    + Ability to work closely with and efficiently with buyers and suppliers

    + Ability to work independently and as part of a team.

    + Strong attention to detail and ability to work independently with minimal supervision.

    + Excellent typing and data entry skills with at least 30 WPM accuracy.

    + Proficient in Microsoft Suite and other relevant software solutions.

    + Ability to learn in-house software and systems to perform the job.

    + Ability to multi-task and maintain composure in high stress situations.

    + Knowledge of the food industry (preferred).

    Physical Requirements:

    + Normal visual acuity.

    + Good hearing and oral communication skills.

    + M anual dexterity and ability to use a keyboard and mouse comfortably.

    + Able to sit and stand for extended periods.

    General Requirements:

    + Must be at least 18 years of age.

    + Must successfully pass a controlled substance screening test and background check.

    + Must adhere to all safety practices and company policies.

     

    Work Environment

     

    This is a primarily sedentary position requiring extended periods of sitting at a computer workstation. The work environment is located in a professional office setting with moderate ambient noise levels. Our office boasts ergonomically designed workstations with adjustable chairs and keyboards to promote comfort and well-being. The temperature is climate-controlled, and the lighting is bright and well-lit.
