Job Description
Insight Global is looking for a highly organized and efficient Sales Administrator to join the team of a client of ours, who is a leading manufacturer of high-performance ink systems for the print and packaging industry. The ideal candidate will be a pro-active individual who is proficient in working alongside multiple teams, in the UK and USA, to deliver an excellent customer service experience to all of their clients. This position offers an exciting opportunity to support our dynamic sales team, manage the spares department, and help organize the logistics of key industry events like trade shows. The office is in a modern state of the art engineering complex of the parent company, located in Batavia, IL.
Key Responsibilities:
Sales Support:
Process and track customer orders, ensuring timely and accurate order fulfillment, from order placement to delivery.
Collaborate with internal teams (logistics, production, finance) to coordinate and track deliveries, invoicing, and order status.
Customer Relationship Management:
Maintain and update customer records in the CRM system, ensuring all information is accurate and up-to-date.
Address customer inquiries promptly, providing product information, pricing details, and resolving any order-related issues.
Spares Department Management:
Oversee the day-to-day operations of the spares department, including managing inventory and stock levels.
Issue spares quotes promptly in response to customer requests and ensure quotes are accurate and competitive.
Track and process spare parts orders, ensuring timely dispatch and delivery.
Order Processing and Documentation:
Create quotes, process sales orders, and ensure all relevant documentation is organized and filed accurately.
Coordinate with the production and logistics teams to ensure orders are processed and shipped on time.
Administrative Support:
Support the team with administrative tasks related to proposals, contracts, and pricing requests.
Collaboration and Communication:
Collaborate with the marketing team to organize logistics for trade shows, conferences, and customer events, including coordinating transportation, booth setup, and event materials.
Pay: $60,000 - 75,000/yr

Skills and Requirements
- Minimum of 2 years of relevant experience in a sales administration role or similar administrative capacity
- Familiarity with CRM systems and proficiency in MS Office (Excel, Word, PowerPoint) is essential
- MS Dynamics F&O experience
- Effective communication skills, both written and verbal, with the ability to interact with customers, suppliers, and internal teams
- Strong organizational skills with an ability to manage multiple tasks and meet deadlines
- Strong problem-solving abilities and the ability to handle customer inquiries and resolve issues efficiently
Excellent attention to detail and the ability to ensure accuracy in all documentation and reports - Bachelor’s degree in Business Administration, Sales, Marketing, or related field preferred
- Experience in managing inventory and stock levels, particularly for spare parts, is highly desirable
- Ability to collaborate with cross-functional teams to plan and execute events, including tradeshows and conferences, is an advantage
- Experience in a manufacturing environment
